The Secretary shall be responsible for providing comprehensive administrative, secretarial, and clerical support to ensure the smooth day-to-day operations of the company’s office.
The specific responsibilities include, but are not limited to, the following:
Managing routine office administration, handling incoming and outgoing calls, receiving visitors, and maintaining a professional reception area.
Drafting, formatting, and proofreading official correspondence, emails, memos, reports, and meeting minutes accurately.
Organizing and maintaining physical and digital filing systems, confidential records, and company databases using Google Workspace tools.
Scheduling appointments, managing executive calendars, coordinating internal/external meetings, and taking detailed minutes.
Monitoring and managing office inventory, stationery, and routine supply requests to maintain optimal inventory levels.
Assisting various departments with administrative documentation, report compilation, and daily workflow tracking.
Handling incoming mail, packages, and deliveries, ensuring prompt distribution to appropriate personnel.
Ensuring strict confidentiality of sensitive business records, client information, and executive communications.
Coordinating routine office maintenance and liaising with facility service vendors as needed.
